Who Should Attend
HR directors, managers, business partners, generalists, and employee relations professionals who receive employee complaints, advise managers on workplace concerns, or determine when an issue requires further assessment, investigation, or specialist involvement.
How You Will Benefit
Conduct a focused intake that separates reported events from assumptions.
Ask neutral questions that clarify the concern and relevant circumstances.
Recognize issues requiring prompt protective action or escalation.
Select an appropriate response without making premature judgments.
Explain next steps, confidentiality limits, and follow-up expectations clearly.
What You Will Cover
Learn how to move from an employee’s initial account to a clear assessment of what requires attention. Examine what information to gather, how to document it accurately, and which decisions should be made before discussing possible resolution.
Apply these principles to complaints involving manager conduct, inconsistent treatment, and recurring conflict. Practice responding when an employee requests secrecy, asks HR to take immediate action, or wants to report a concern without further involvement.
Seminar Outline
Receive the Concern Without Prejudging the Outcome
Establish the purpose of the conversation and explain confidentiality limits. Decide how to acknowledge the employee’s concern without promising a finding, remedy, or outcome.
Clarify What Happened and What Remains Unknown
Ask about specific events, timing, people involved, and available information. Distinguish firsthand observations from interpretations and identify gaps requiring further inquiry.
Assess Urgency and Choose the Appropriate Response
Consider immediate safety concerns, possible retaliation, and relevant organizational procedures. Determine whether the next step requires clarification, management action, a formal investigation, or specialist guidance.
Document the Intake and Establish Follow-Up
Create a factual record of the concern, information received, and next steps. Set realistic communication expectations and determine how subsequent concerns or changed circumstances should be reported.
